- Facilities will not normally be granted for the promotion of political or religious organisations or where statutory limitations on use apply.
- Those wishing to use SERC facilities must apply using the Institute standard booking form. This must be submitted to the Booking Manager not less than 28 days before the date of proposed use.
- No use of facilities may be made without prior consent of the Estates Unit Manager.
- The person(s) named as 'Person Responsible' on the booking form will be held personally responsible and liable for the conduct and supervision of all persons involved, for the termination of use at the hour specified, and for any damage or loss caused to the premises or property arising out of such use and for payment of all invoices issued by the Institute. SERC reserves the right to make good such damage or loss and to recover the cost from the user.
- All use of facilities must take place on the day and between the times stated on the booking form.
- Bookings outside Institute opening times must vacate the Institute building no later than 15 minutes after the finish time stated on the booking form.
- Items of equipment owned by the Institute are not available to users unless specifically authorised and requested beforehand.
- Users of specialist accommodation or equipment must satisfy the Institute that they or their representatives are suitably qualified and experienced in its use.
- Intoxicating liquor must not be sold on the premises. It must not be consumed on the premises without the prior approval of the Director. (NOTE: the sale of intoxicating liquor in unlicensed premises is illegal).
- All irregularities, damage and loss relating to Institute property must be reported to immediately.
- Cancellation of booking must be notified to the Booking Manager as soon as possible and not later than three days before the date of use. Failure to comply will result in a 50% cancellation fee being charged.
- All charges become payable immediately on receipt of an invoice.
- No facilities, other than those authorised, may be used, disturbed or entered.
- All approvals are subject to cancellation by the Director without notice. (This right will only be exercised when the grounds for doing so are reasonable).
- The accommodation provided by the Institute will be yielded up at the end of the event in the same clean state and condition it was in at the beginning of the event.
- The Institute shall not be responsible for any loss, damage or injury to any property or person or persons (including the Applicant's invitees) suffered by reason of any act, neglect or default of the user.
- The Institute requires users to provide written evidence that comprehensive insurance cover is in place.
SERC must not be used for the purpose of denominational religious teaching. Religious groups may, however, use SERC premises for other purposes e.g. social or recreational purposes.
The limitations contained in the Entertainment Licenses Local Government (Miscellaneous Provisions (NI) Order 1985 are applicable:
A license is required for any place if:
an Entertainment, as defined in the Order, takes place;
and
- if any form of charge is made, irrespective of when it is made and whether paid by money or money's worth.
Entertainments specified in the Order include:
- a theatrical performance
- dancing, singing or music or any other entertainment of a like kind
- a circus
- any entertainment which consists of, or includes, any public contest, match, exhibition or display of: boxing, wrestling, judo, karate or similar sport; billiards, pool, snooker or any similar game; darts; or any other sport or game prescribed for the purposes of the paragraph by an Order made by Department subject to affirmative resolution.
The requirement for a license does not apply to 'an educational institution while being used as such'.
The following activities are exempt:
- An end of term concert, play or pantomime put on by the students for their parents, teachers and friends, whether or not a charge for admission is made
- an end of term disco or dance held for students of the Institute during the normal SERC day (or in the evening) whether or not a charge is made
- music performance given by students for their parents, staff and friends whether or not a charge is made.
